Hiring and implementation

How to outsource your payroll in Mexico, step by step

A clear process, in writing. At every stage you know what comes next, what we need from you and what you get.

Process

Seven steps, four stages

You can work on several things at once, but we do not go live until every stage is complete.

  1. Quote

    Request your quote

Tell us how many companies, IMSS employer registrations and employees per pay frequency you have, and which services you need. No need to send your policies yet.

  2. Quote

    Receive an approved proposal

We calculate and approve your proposal with a breakdown of every service. If you request changes, we issue a new version.

  3. Contract

    Sign the contract

Once you accept the proposal, we prepare the master agreement with your verified legal information. It is signed only when no required data is missing.

  4. Implementation

    Build your implementation file

You share the documents for each company, employer registration and service. We review them one by one and tell you clearly if anything is missing.

  5. Implementation

    Define policies and calendars

We configure pay calendars, pay items and rules, and document them in annexes approved by both parties.

  6. Go-live

    Run a test payroll

We run a test payroll, compare it against your current payroll and fix every difference.

  7. Go-live

    Go live

With written authorization from you and from us, regular payroll operations begin.

We never go live without a signed contract, validated information, approved annexes and accepted tests. That is how we protect your payroll from the very first period.

Services

Hire only what you need

Each service is quoted with its own unit. Nothing is charged or activated unless you accepted it in your proposal.

Policies

Your payroll rules, in writing

Every benefit, bonus or deduction is documented: how it is calculated, who it applies to and in which period it is paid. Nothing applies without your approval.

Option 1

Send us your policy

Share your current handbook, policy or template as a PDF, Word or Excel file. We turn it into clear rules and send them to you for approval.

Option 2

Define it with us

Together we choose the earnings, deductions and other payments from your catalog and define formulas, caps, attendance rules and who they apply to.

We separate the period being paid from the period being reviewed

Grocery vouchers

Paid in the October payroll, but calculated on the days worked in September.

Reviews: SeptemberPays: October
Weekly bonus

The bonus paid this week is calculated on last week's attendance.

Reviews: last weekPays: this week
Attendance award

Pays 100%, 70%, 30% or nothing depending on the number of incidents in the previous month.

Reviews: previous monthPays: period including the 15th

Examples are for illustration only. Your policy is the one you approve in your annexes, and no benefit is created by default.

Go-live

Operating annexes and go-live

We document your operation in annexes with version, effective date and approval from both parties. Only those that apply to your services are activated.

FAQ

Payroll outsourcing in Mexico: frequently asked questions

What do I need to get a payroll outsourcing quote?

Just the number of companies, IMSS employer registrations and employees per pay frequency, plus the services you need. Policies and documents come later, during implementation.

Which documents do you need to implement payroll in Mexico?

It depends on the services: employee roster, payroll history, pay item catalog, benefits, calendars, employer registrations and SUA backup, among others. We only ask for what applies to what you hired.

What happens if I terminate the contract?

You have 30 days to view and download your reports and databases. If you want to keep using the system, we quote it separately.

How do you protect my employees' data?

Only the people and companies you authorize have access, every review and approval is logged, and we never ask for passwords or private keys by email. Information is confidential under the contract.
